Attorney Recruiting Assistant
Fenwick is seeking an Attorney Recruiting Assistant who will provide comprehensive administrative support to the Attorney Recruiting Department. This role will assist with the firm’s Lateral Associate and Summer Associate hiring processes. The Assistant will adhere to firm policies, uphold confidentiality, follow best practices, and maintain positive interactions with personnel.
This role offers a hybrid work arrangement, allowing you to work both from home and at your designated Fenwick office. The frequency of in-office work will be determined by business needs and guided by your department's directives. This position can be based in our Mountain View (CA), San Francisco (CA), New York (NY), or Washington, D.C. (DC) office locations.
Responsibilities Include:
- Handle applicant correspondence and process incoming applications and resumes, including checking for prior submissions, entering information into Workday/LawCruit and updating candidate files. Assist with correspondence with vendors and search firms.
- Schedule candidate interviews; prepare interview materials; greet candidates; make travel and other arrangements, as needed. Compile interview evaluations and prepare candidate evaluation packets for offer decisions; follow up on offer decisions, such as initiating letters to applicants, updating files and records and monitoring follow-up outreach to applicants.
- Support the summer associate program, including event planning, monitoring the assignment system, logistical support, tracking evaluations and coordinating summer associate evaluations and reviews.
- Handle offer correspondence and processing new hire forms for all attorney and summer associate hires. Initiate employment verification requests and conflicts clearances. Coordinate conflict clearance information.
- Assist with the onboarding process for lateral, entry-level and summer associate hires.
- Maintain inventory of recruiting gifts, files and records. Assist with annual file maintenance, records management, and maintain and update appropriate spreadsheets and databases.
- Handle check requests, departmental invoices and candidate expenses. Process invoices for payment using appropriate billing accounts and maintain expense records.
- Prepare materials for on-campus interviewers, student outreach programs and other recruiting events. Assist with registration for on-campus interviews and other programs.
- Design and create attorney recruiting newsletters.
- Travel between offices to support recruiting programs, as needed.
- Perform other related duties and assignments, as assigned.
Desired Skills and Qualifications:
- Highly organized and detail-oriented, with a proven ability to manage multiple priorities and projects under tight deadlines.
- Effective communicator with a professional demeanor, able to interact confidently with partners and team members.
- Strong client-service orientation, demonstrating responsiveness and adaptability in all interactions.
- Proficient in MS Office, with experience in data entry and database systems (familiarity with Workday and LawCruit a plus).
- Able to work both independently and collaboratively to support team objectives.
- Quick learner with a proactive approach to understanding attorney recruiting processes.
- Flexible availability for occasional evening/weekend hours and inter-office travel as required.
Reporting to the Senior Manager of Attorney Recruiting, the ideal candidate will have at least 1 year of experience in a professional service setting. Bachelor's degree or equivalent in education and/or experience in a law firm a plus.

The anticipated range for this position is:
$57,000 - $77,250
Depending on the role, the actual base salary offered may depend upon a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
A discretionary bonus for eligible employees may also be available based on performance. Additional information about employee eligibility for benefits and discretionary bonus will be made available upon request.
